Key Responsibilities:
Administrative Support
Provide high-level administrative support to ensure the National Director (ND) can lead the organization effectively and efficiently. Responsibilities include:
• Serve as the primary point of contact for internal and external stakeholders on matters related to the ND, handling confidential and sensitive issues with professionalism and discretion.
• Assess and prioritize inquiries and requests, determining the appropriate course of action, referral, or response, while exercising sound judgment aligned with the ND’s leadership style and organizational policies.
• Manage the ND’s consolidated calendar, ensuring seamless scheduling of meetings, appointments, workshops, and other key tasks, and resolving conflicts proactively.
• Facilitate effective communication and the smooth flow of information on activities and events relevant to the ND’s office and organizational priorities.
• Prepare, screen, and route correspondence and inquiries, including email and social media, responding as appropriate.
• Draft correspondence, maintain contact lists, arrange travel, and complete expense reports in compliance with World Vision International (WVI) policies.
• Anticipate the ND’s needs by preparing materials for meetings with internal and external stakeholders. Review speeches, presentations, and talking points for relevance, clarity, and formatting.
• Maintain an office-wide master calendar, consolidating major events such as workshops, high-level visits, SLT meetings, travel, and vacations. Collaborate with administrative staff and department heads to coordinate organizational schedules and Vision Fund activities.
• Coordinate SLT meetings, retreats, and organizational events, ensuring agendas are prepared, minutes and action items are accurately recorded, and follow-up occurs as needed.
• Ensure all recurring and critical SLT meetings are calendared at least six months in advance, or as soon as possible, to facilitate smooth planning and execution.
• Manage the ND’s travel and logistics, including maintaining travel calendars, coordinating transportation, booking venues, and arranging workshops or boardroom reservations in partnership with the Supply Chain team.
• Replenish office supplies, including snacks, printer materials, paper, water, and other essentials, ensuring the ND’s office is well-stocked and operational.
Financial & Procurement
Provide essential financial and procurement support to maintain the efficiency and functionality of the National Director’s (ND) office. Key responsibilities include:
• Prepare, manage, and monitor the ND office budget, ensuring all expenditures are accurately recorded, appropriately allocated, and aligned with organizational policies and budgetary guidelines.
• Ensure the timely replenishment of office essentials, including water, snacks, printer supplies, paper, and other necessary items, to support a well-equipped and productive office environment.
• Process and oversee ND office requisitions, ensuring all procurement activities adhere to established procedures, organizational standards, and compliance requirements.
• Any other duties assigned

Qualifications: Education/Knowledge/Technical Skills and Experience:
• Degree in Business Administration, or any business / social science-related qualification.
• Experience working as executive assistance – work in a development-related NGO is an added advantage.
• Effective administration and people management skills.
• Full understanding of administration functions and best practices.
• Excellent written and verbal communication skills.
• Works well under pressure and meets tight deadlines.
• Highly computer literate with capability in email, MS Office, and related business and communication tools.
• Fantastic organizational and time management skills.
• Strong decision-making and problem-solving skills.
• Meticulous attention to detail.
