JOB DETAILS:
Academic Summit is seeking an Events Coordinator with a high level of creativity and attention to assist in the planning and execution of the department’s virtual and in-person activities.
Successful candidates have excellent organizational skills including attention to detail and ability to multitask; time management skills and the ability to prioritize a large volume of tasks. They are self-motivated, enthusiastic and willing to learn new technology. Strong interpersonal skills will be of value including experience building and maintaining relationships with a diverse network of individuals and organizations.
Duties include:
• Support the design, planning, implementation, and coordination of Yesbud events.
• Assists in planning and scheduling on and off-site university events to include coordination/procuring of location, facilities, technical services, supplies, marketing, publicity, and personnel.
• Contribute to vendor and site selection, arrangements, and scheduling.
• Coordinate event registration and confirmations.
• Creates and distributes social media, promotional materials, and swag
• Provides administrative assistance to support the campus based support program staff and in support of the various events.
• Contacts internal and external participants and agencies to assist with coordination of co-sponsored events.
• Identifies and secures a keynote speaker for the event. Coordinates appropriate accommodations for securing the keynote speaker.
• Process purchase requisitions and invoices; track event expenses.
• Provide general administrative assistance for department; handle phone calls, emails, and other correspondence relating to event(s).
• Liaise with donors, alumni, senior staff, faculty, trustees, and other staff.
• Coordinate facility, exhibit set-up, equipment, and catering requirements. Provide on-site support, such as check-ins, directions, equipment set-up, and event parking.
• Run database lists, and communicate registration status, reports, and data.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
• Knowledge of supporting events.
• Ability to manage shifting priorities and handle numerous time-sensitive projects with multiple deadlines.
• Ability to work independently and be self-motivated.
• Demonstrated ability in problem solving, taking initiative, judgment, and decision-making.
• Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
• Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
• Ability to interact with a broad spectrum of customers.
What would we like from our Event Coordinator:
• Proven experience in working in events management/coordinators role, ideally from within a corporate, hotel or apart hotel environment
• Strong analytical skills; able to translate insight into action
• Experienced user of Microsoft applications
• Effective communication skills
• Ability to work in a flexible team both within the department and in support of all other departments regionally
• Have confidence, pride and knowledge in products
PHYSICAL REQUIREMENTS*:
• Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
• Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.

WORKING CONDITIONS:
• May require national travel
• Occasional work on evenings and weekends.
