• Amref Health Africa in Zambia is inviting suitably qualified applicants for the Administrative Officer position to be based at the Head Office in Lusaka.
Main purpose of the job
To perform administrative support activities for the organization.
Specific Key Responsibilities:
• Ensures that the physical appearance of the office is maintained and that cleaning is done on a regular basis
• Liaising with service providers to facilitate provision of goods and services as and when they are needed
• Ensuring that visitors, suppliers and guests are welcomed and directed to the appropriate staff.
• Monitor the provision of contracted services such as security, office premises maintenance etc. to ensure services are fulfilled in accordance with contractual obligations.
• Handling petty cash, reconciliation of petty cash and float with the Finance Assistant and submitting monthly reports to the Senior Finance and Operations Officer.
• Arrange flights, local transfers and accommodation for staff and visitors.
• Assist staff travel in ensuring travel advance retirements are submitted timely.
• Organization and booking of programme functions including meeting, workshops, trainings and any other business forums
• Purchase and Monitor usage of office supplies by maintaining stock records
• Process all payments for office utility bills.
• Maintain a fixed asset register.
Requirements and Qualifications
Education and Professional Qualifications
• Bachelor’s Degree in Business Administration, Public Administration, Business Management or related field
Required Qualifications and Experience
• Two (2) years of relevant experience in administration or program support service.
Knowledge, Skills and Abilities
• Familiarity with grants management and experience with financial and operations management.
• Experience scheduling travel arrangements.
• Excellent general administrative skills, including excellent judgment and attention to detail.
• Strong calendar management skills.
• Excellent interpersonal skills.
• Excellent written and spoken English.
