MPower Ventures, a pan-African venture backed start-up in the clean energy space (www.mpower.africa), is looking for an energetic new Head of Sales in Zambia. Together with our partners, MPower has already supplied thousands of customers with its solar systems. Our products range from solar home systems with matching appliances such as TVs, fans and refrigerators to productive use appliances and large systems for SMEs and medium-income class households . Our portfolio has recently been complemented with electric powered vehicles, making us one of the most innovative clean energy providers in Zambia.
To increase our footprint in Zambia and grow our sales we are looking for an independent and entrepreneurial Sales & Admin Associate based in Lusaka. This is an exciting opportunity in a fascinating and rapidly growing field.
Position Overview
The Sales & Administration Associate at Mpower plays a critical role in supporting both the sales and HR teams by managing administrative tasks, ensuring efficient operations, and enhancing customer satisfaction. This position reports to the local Head of Sales and Head of HR. S/he is responsible for producing accurate quotes, updating the sales pipeline, invoicing customers, following up on after-sales inquiries, sourcing new business opportunities and Supporting HR related tasks.
Key Responsibilities
Quote Generation:
Prepare and issue timely and accurate quotes based on customer requirements and pricing guidelines.
Collaborate with the sales team to understand customer needs and tailor quotes accordingly.
Sales Pipeline Management:
Regularly update and maintain the sales pipeline to reflect current opportunities and their status.
Generate reports to track progress and identify potential issues in the sales process.
Invoicing:
Process customer invoices promptly and accurately.
Ensure all invoicing aligns with company policies and customer agreements.
After-Sales Support:
Conduct follow-up calls with customers to ensure satisfaction and address any issues.
Document feedback and work with the sales team to resolve customer concerns.
Business Sourcing:
Assist in identifying potential new business opportunities through market research and networking.
Support sales initiatives by reaching out to potential clients and gathering leads.
Collaboration and Reporting:
Work closely with the sales team to provide administrative support and facilitate communication.
Prepare regular reports on sales activities, pipeline status, and customer feedback for management review.
HR and Personnel Management:
Draft employment contracts and make them stamped by the Ministry of Labor, ensuring all staff contracts are accurate and in compliance with the labor regulation;
Manage correspondence and direct employees relations;
Liaise with the Health insurance Company and ensure all eligible employees are ensured on due time.
Support the hiring, Onboarding and offboarding process for new local staff;
Address and follow up on HR requests;
Support in organizing team events.
Qualifications
• Diploma in Business Administration, Sales, or related field (preferred).
Proven experience in sales administration or a similar role.
Exposure in HR and/or personnel management is an asset.
Strong organizational and multitasking skills.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.
Proficiency in Google drive.
Ability to work independently and as part of a team.
• Key Performance Indicators (KPIs)
• Quote Accuracy Rate:
• Percentage of quotes issued without errors.
Target: 98% accuracy.
• Sales Pipeline Updates:
• Frequency and timeliness of updates to the sales pipeline.
Target: Updates completed within 24 hours of any change.
• Invoicing Efficiency:
• Average time taken to process and send invoices post-sale.
Target: Invoices processed within 48 hours.
• Customer Satisfaction Score:
• Measurement of customer satisfaction following after-sales calls (via surveys or feedback forms).
Target: 90% satisfaction rate.
• Lead Generation:
• Number of new leads sourced and qualified each month.
• Target: Minimum of 10 new leads per month.
• Sales Support Feedback:
• Feedback from the sales team on the effectiveness of administrative support.
Target: Average score of 4.5/5 in team feedback surveys.
• HR Administration:
• Accuracy, confidentiality and 100% keeping of all staff contracts and files;
Proactiveness in handling staff requests: within 2 working days for internal matters and 5 for external related requests.
Weekly report on all HR related activities;
