JOB DETAILS:
Job Purpose:
The job holder will be responsible for ensuring proper and efficient support to directors, managers, and employees by assisting in daily office needs and managing the company’s general administrative activities. This includes coordinating administrative systems, workflows for inventory and facility management, and providing support to other departments as required.
Key Responsibilities:
• Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
• Assist in document processing (e.g., business levy, fire certificates, business permits, etc.).
• Coordinate and schedule meetings, appointments, and travel arrangements for senior executives and staff members.
• Prepare reports, presentations, and other documentation for meetings.
• Organize and maintain both physical and electronic files, records, and databases, ensuring accuracy and confidentiality.
• Oversee office supplies inventory and proactively place orders when necessary.
• Serve as the point person for maintenance, mailing, shipping, and purchasing requests.
• Assist in budget preparation and expense monitoring while ensuring adherence to company policies.
• Collaborate with the HRDM to manage employee records, attendance, and vacation schedules.
• Liaise, negotiate, and deal with external vendors, suppliers, and clients to ensure smooth business operations as per company policy.
• Conduct research and provide administrative support to various projects as assigned.
• Provide support and assistance to other team members as needed.
• Perform any other office-related tasks for maintenance, upkeep, and smooth operations.
Qualifications and Requirements:
• Minimum of Full Grade 12/Diploma in Business Administration.
• Age: 22-35 years old.
• At least 1-2 years of working experience in the administration department.
• Knowledge of the latest industry trends and best practices.
• Familiarity with MS Office and various business software is a must.
• Strong critical thinking and problem-solving skills.
• Excellent time-management, interpersonal, and communication skills.
• Team player with a proactive attitude.
