With nearly 1,800MW of generation capacity in operation across 17 power plants in 7 countries, 485MW of new power projects in construction and >2,000MW in development, Globeleq is one of the largest independent power producers solely focused in Africa. Globeleq is 70% owned by British International Investment and 30% by Norfund, the development finance institutions of the UK and Norway, and has a proven track record for supporting the ongoing development of the African power sector.
Globeleq’s various generation technologies include gas, wind, solar PV, battery energy storage (BESS), and geothermal. The company is also actively pursuing new opportunities which are emerging from the energy transition.
The team is now hiring an Office Administrator who will be responsible for the smooth running of the office and overall support for the Business Development team in Zambia.
Key Responsibilities
Office and Facilities Management
• Be the first point of contact at the office reception desk, meet and greet visitors, answer incoming phone calls and allocate to the relevant person
• Vendor sourcing and administration including timely renewal of relevant contracts
• Payment of invoices
• Management and procuring of kitchen & office supplies
• Facilitate administration with landlord/building management
• Prepare for meetings and ensure the meeting room is cleared thereafter
• Coordinate the pick-up and delivery of office-related items/documents as required
• Maintaining office security by following procedures
• Work with external support staff to ensure ICT is functioning smoothly and cleaning of the office is done appropriately
• Coordinating travel arrangements as required – both local and international
• Maintain the office condition and arrange necessary repairs
• Plan, implement and re-evaluate processes to ensure the smooth running of the office
• Ensure all items are invoiced and tracking budget expenses
• Coordinating company events
• Provide clerical assistance to team members
• Provide cover for other administrators in other GQ offices when required
Accounts payable management
• Track outgoing payments
• Monitor company expenditures and verify expense reports
• Maintain petty cash
• Review vendor and service provider agreements
• Negotiate with vendors and service providers to secure discounts
• Track and pay sales and use tax
• Pay vendors and service providers
• Reconcile statements and payment records
• Ensure payment credits are applied correctly
• Correspond with vendors regarding billing and payments
• Analyse accounts
• Prepare reports
• Assist with audits
Other
• Any other duties, as assigned by the line manager in line with the role

Experience, Knowledge & Qualifications
• Proven experience in Office Administrator required
• Degree qualification or other equivalent business qualifications
• Experience of working with Microsoft packages including Word, Excel, Outlook and PowerPoint
• Experience of administering office vendors/suppliers
