JOB DETAILS:
Job Purpose:
The Programme Support Officer will provide administrative and programmatic support for the successful implementation of all country projects. This role will ensure smooth operations, manage documentation, handle logistical arrangements, and support stakeholder engagement for the projects. The Programme Support Officer will work closely with the Programmes Coordinator, Country Director, and key stakeholders to advance the project’s goals in promoting breast cancer awareness and care.
Key Responsibilities:
Administrative and Logistical Support:
• Organize and schedule meetings, workshops, and events for all projects, ensuring all logistics are in place.
• Maintain project documentation, including records of meetings, reports, and correspondence.
• Provide secretarial support during meetings, including taking minutes and following up on action points.
Project Implementation Support:
• Assist the Project Coordinator in executing project activities in line with the approved work plans.
• Track project milestones and deliverables, ensuring timely updates to the team.
• Coordinate with health facilities and stakeholders involved in the project to ensure alignment with project goals.
Financial and Budgetary Support:
• Assist with tracking project expenditures and preparing financial records in line with organizational and donor requirements.
• Support the preparation of financial reports for internal and donor submissions.
Stakeholder Engagement and Communication:
• Liaise with stakeholders, including the Ministry of Health and all other key stakeholders to coordinate project activities.
• Prepare reports, letters, and presentations for internal and external audiences.
• Respond to general inquiries about the project and maintain clear communication with all stakeholders.
Research and Data Management Support:
• Assist in data collection and ensure accurate documentation of research activities.
• Support the development of reports and research summaries as required.
Qualifications and Experience:
• A bachelor’s degree in public health, Social Sciences, Business Administration, or a related field is required.
• A Masters’ degree in a related field is an added advantage.
• At least 3 years of experience in administrative or programmatic support, preferably within the health or development sector.
• Demonstrated experience in managing project documentation, logistics, and financial tracking.
• Familiarity with donor-funded projects and reporting requirements is an advantage.
Key Competencies:
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to work collaboratively and independently in a dynamic environment.
• High attention to detail and commitment to accuracy.
• Understanding of Zambia’s health system and stakeholders involved in breast cancer care is an added advantage.
