JOB DETAILS:
Job Overview:
The Service and Sales Assistant will provide administrative support to the Service Department and assist the Sales Department with quotations, sales follow-ups, and customer inquiries. This role requires strong Excel skills and comfort with online tools, including CRM systems and cloud-based platforms. The position is hybrid, with both remote work and on-site responsibilities at Plot No. 9066, Katanga Road, Chinika Area, Opposite Novatek. Working hours are flexible.

Key Responsibilities:
Service Administration Support
• Assist the Service Manager with scheduling maintenance, repairs, and installations.
• Maintain and update service records, customer complaints, and warranty details using Excel and online tracking tools.
• Communicate with customers to confirm service appointments and follow up on completed work.
• Track spare parts inventory and generate reports for stock management.
Sales Support & Quotations
• Prepare and send customer quotations using Excel and online quotation tools.
• Follow up on outstanding quotes, inquiries, and past sales using CRM and email tracking software.
• Maintain accurate records of customer interactions, sales pipeline updates, and feedback in online databases.
• Ensure prompt communication between customers and the sales team.
• Process sales documentation, including invoices, purchase orders, and contracts.
• Customer Service & Relationship Management
• Respond to customer inquiries
• Provide product information and assist customers in choosing the right solutions.
• Address customer concerns, escalating issues to the relevant department when necessary.
• Build strong relationships with repeat customers in the hospitality and commercial sectors.
General Administrative & Technical Support
• Create and manage Excel spreadsheets for tracking service and sales performance.
• Generate reports and analytics
• Maintain organized digital records in Google Drive, OneDrive, or other cloud-based systems.
• Support inventory management by tracking sales and service-related stock levels.

Qualifications & Experience:
Previous experience in administration, sales support, or service coordination is preferred.
Experience in the hospitality industry, catering equipment, or commercial services is an advantage.
High school diploma or higher (business administration or technical background is a plus).
knowledge of Microsoft Excel, Google Sheets, CRM systems, and invoicing software.
